How Kaspr Travel protects your privacy

Kaspr Travel (“Kaspr Travel”, “we”, “us” or “our”) is a destination management company based in Dubai, United Arab Emirates. We work mainly with travel advisors and the guests they entrust to us, and caring for their personal information is part of caring for their journeys. This policy explains what we collect, why we need it, how we keep it safe and the choices open to you.

We handle personal data in line with the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021) and, where they apply, other laws such as the EU and UK GDPR. Each numbered section below can be read on its own.

1. About us and the scope of this policy

What this policy covers

This policy applies whenever we handle personal data in connection with our website, enquiries and bookings, our partner platform Kaspr Connect, newsletters and events, or any other correspondence with us. It covers travel advisors and their colleagues, the guests they book with us, our suppliers and visitors to this website.

Where a booking includes children, we only use their details as provided by a parent, guardian or travel advisor.

Travel advisors who share guest information with us are asked to make this policy available to their clients, so that everyone travelling understands how their details will be used once the booking reaches our destination teams. If you are a guest and have questions about how your advisor handles your information, please contact them directly as well.

Data controller

When our services or the law change, we may revise this policy. The current version will always be published on this page, together with the date it was last revised: [date]. Where a change is significant, we will also let our registered travel partners know directly.

Other websites

Our website links to other sites, such as those of hotels, airlines and our social media channels. Each of those organisations has its own privacy notice, which we do not write or control. Before you share personal information on any external site, please take a moment to check how that organisation will use it.

2. Personal data we collect

The information we hold depends on your relationship with us: whether you are a travel advisor, a guest or simply browsing our website. It may include:

  • Identity and contact details: names, job titles, agency names, postal and email addresses and telephone numbers.
  • Travel documents: passport details, nationality, dates of birth and the visa information needed for entry requirements and resort registration.
  • Booking details: itineraries, flight times, room choices, transfer arrangements and the names of travelling companions.
  • Preferences and requests: celebrations, dietary requirements, activity choices and special occasions.
  • Health and accessibility information that you choose to share so that we can arrange suitable services, such as an adapted vehicle.
  • Payment information: billing details and records of payments made to or by us. Card numbers are handled by our payment providers and are not stored by us.
  • Partner account data: Kaspr Connect user names, booking history and account settings.
  • Technical data: IP address, browser type, device information and the pages viewed on our website.
  • Marketing preferences: your choices about receiving newsletters, invitations and offers.

Some requests involve sensitive information, such as health details shared so that we can book a wheelchair-accessible transfer or warn a chef about a severe allergy. We only ask for this kind of information when it is genuinely needed for a trip, we use it solely for that purpose and we pass it only to the suppliers who need it to look after you. Where the law requires it, we will ask for your explicit consent first. We never use sensitive information for marketing, and we do not collect information about criminal convictions or offences.

We also prepare anonymised statistics, such as the number of visitors to each destination page or the months in which our partners book most often. These figures cannot be used to identify anyone and help us improve our website, our services and the support we give our partners.

If you prefer not to share information

Some information is essential for travel. Airlines, resorts and immigration authorities require passport details, for instance, and transfers cannot be confirmed without arrival times. If this information is not provided, we may be unable to complete or deliver part of a booking. We will always explain when information is mandatory, and you remain free to decline optional requests such as marketing or feedback surveys.

3. How we collect and use your information

We obtain personal data from a small number of sources:

  • From you, when you complete our enquiry form, register for Kaspr Connect or contact our team.
  • From your travel advisor, who shares the details needed to plan and confirm your arrangements.
  • From hotels, airlines and other suppliers, for example when a flight time changes.
  • Automatically, through cookies and similar technologies when you browse our website.
  • From public sources, such as company registers, when we verify a new trade partner.

We use this information to plan, confirm and deliver travel arrangements; to support guests before and during their stay; to manage our partner and supplier relationships; to meet our legal, tax and regulatory obligations; to keep our website and systems secure; and, where you have agreed, to send news and offers. We rely on the performance of a contract, our legal obligations, our legitimate business interests or your consent, as appropriate.

Delivering a journey means sharing details with the hotels, airlines, transfer companies and guides who look after you, some of them outside the UAE. We take steps to keep that information protected in line with applicable law.

We keep personal data only as long as these purposes, or accounting and legal rules, require.
